Refund & Cancellation Policy

At Ready for Tennis, we aim to provide a fair, transparent and family-friendly approach to cancellations, make-ups and term enrolments. Our policies ensure consistency for all players, while still offering flexibility where possible.

1. Term Enrolment Policy

• All group programs are booked as a full-term enrolment.
• Fees must be paid in full prior to the start of the term unless a payment plan has been arranged.
• Term fees are non-refundable once the term begins, except where required by Australian Consumer Law.

2. Player Cancellations & Make-Up Classes

We understand that families are busy and that things come up. To support this, we offer a clear and structured make-up class policy.

Make-Up Class Conditions

To receive a make-up class credit:

• You must cancel a minimum of 12 hours before the session via email or text message to Coach Reid or the Ready For Tennis Coaching Team.
• A maximum of 2 make-up credits per class per term is permitted (subject to availability in alternative classes).
• Make-up classes:
  • Cannot be refunded
  • Cannot be carried over to the next term
  • Cannot be deducted from future term fees

How to Use Make-Up Credits

• Make-ups must be booked through Coach Reid or the Ready For Tennis Coaching Team via email or text message.
• Credits are valid only within the same term.
• Make-up classes are not guaranteed and depend on available space.

3. Wet Weather & Extreme Heat Cancellations

We operate at RACV Royal Pines with both outdoor courts and undercover courts.

• Where possible, coaching will continue on the undercover courts.
• If the undercover courts are required by the RACV venue for private events, coaching will be moved to the outdoor courts.
• If a session must be cancelled due to unsafe conditions (extreme wet weather, lightning, excessive heat), players will receive a make-up class credit.
• Make-up credits for weather cancellations follow the same rules as above.

4. Private Lesson Cancellations

• Private lessons must be cancelled at least 12 hours in advance.
• Late cancellations or no-shows will be charged at the full rate.
• Make-up policies for private coaching differ from group sessions and will be discussed directly with your coach.

5. Holiday Camps, Events & Clinics

• Bookings for holiday camps, clinics, and special events are final.
• Cancellations may be considered only under exceptional circumstances and at management discretion.
• If Ready for Tennis cancels an event, a full credit or refund will be offered.

6. Refund Policy

Refunds are only offered in the following situations:

• A medical condition preventing further participation (medical certificate required).
• If Ready for Tennis cancels a program and no alternative is available.
• Where required under Australian Consumer Law.

Refunds are not provided for:

• Change of mind
• Schedule clashes
• Missed classes where the player is eligible for make-up credits
• Inability to find suitable make-up class times

7. Behaviour, Safety & Participation

• Ready for Tennis may suspend or cancel enrolment if a player’s behaviour compromises safety or disrupts the program.
• In such cases, refunds are at management discretion.
